This Privacy Policy explains how Coda collects, uses, and protects your information. Coda ("Coda," "we," "us," or "our") is the operating name of 1001198571 ONTARIO CORP., a corporation registered in Ontario, Canada. It applies to codaoutbound.com and to the phone, email, and text-message conversations we have with you, whether on our own behalf or on behalf of a client we do outreach for.
Information we collect
We collect the following:
- Information you give us — your name, business email, phone number, company, job title, and anything you share when you fill out a form, book a call, reply to an email or text, or speak with us on a call.
- Business contact information — publicly available or client-provided business contact details (name, role, company, business phone, business email) for people we reach out to on behalf of our clients.
- Conversation data — notes, recordings, and transcripts of calls, and the content of emails and text messages you exchange with us, used to follow up accurately and to improve our service.
- Usage information — basic technical data (such as pages visited on our website) collected automatically to keep the site working and secure.
How we use your information
We use your information to:
- Respond to you and follow up on a conversation you have already started with us or one of our clients;
- Schedule, confirm, and send reminders for meetings you have booked;
- Deliver our outreach service to the client on whose behalf we are contacting you;
- Maintain our records and improve how we communicate.
SMS and phone communications
If you provide your phone number and consent, we may send you SMS text messages related to a conversation, inquiry, or meeting you have engaged in with us — for example, appointment reminders and follow-ups. Message frequency varies. Message and data rates may apply. You can reply STOP at any time to opt out of future messages, or HELP for assistance.
We do not sell your personal information, and we do not share your mobile phone number or SMS opt-in consent with any third parties for their own marketing or promotional purposes. No mobile information collected as part of the SMS opt-in process is shared with third parties or affiliates for marketing purposes.
How we share information
We do not sell your personal information. We share it only in these limited cases:
- With our clients — when we conduct outreach on a client's behalf, we share the details of conversations we have with prospects with that client, so they can follow up with you directly.
- With service providers — trusted vendors that help us operate (for example, our CRM, email, and telephony providers) under agreements that require them to protect your information and use it only to provide services to us.
- For legal reasons — when required by law, or to protect the rights, safety, or property of Coda or others.
Data retention
We keep your information only as long as needed for the purposes described here, to run our business, and to meet legal obligations. When it is no longer needed, we delete it or de-identify it.
Your choices and rights
You can ask us to access, correct, or delete the personal information we hold about you, and you can opt out of communications at any time. To do any of these, reply STOP to a text, or email corey@codaoutbound.com. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable privacy laws.
Security
We use reasonable administrative and technical safeguards to protect your information. No method of transmission or storage is completely secure, but we work to protect your data and limit access to it.
Children's privacy
Our website and services are intended for business use by adults and are not directed to anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above. Continued use of our website or services after a change means you accept the updated policy.
